Real-Time Reservation List|Reservation

For the reservation function, you can check the real-time reservation list in the backend aside from the page for managing reservation on iCHEF POS App. In this way, whenever you receive a reservation request via social media or other channels, you can easily add or edit the reservation info with your mobile phone anywhere!

Backend Path: Online Store > Reservation > Feature Status

1. Check Reservation

This page displays the reservation info of the day by default. You can use the filters to check specific reservation info dated from the past 6 months through the next 2 years. There are 3 ways of filtering the information:

  1. Search bar
  2. Date-picker
  3. Reservation status filter

❶ Overview

The list will show the following information to give you a quick access to the latest reservation status!

  • Label of the day: If you have set up special days, the system will show [Special Day] or [Unavailable] next to the label of reservation status.
  • Amount of the day: It calculates the effective reservation data only, not including the cancelled and no-show reservation.
  • Amount of the hour: It calculates the number of group, customer and required high chair, and show the amounts for the reservation of the hour.

Reservation Rate: It calculates the percentage of the reserved tables to the tables available for reservation online.

Examples of Reservation Rate Calculation

Reservation rate refers to the percentage of the reserved amounts to the available amounts.

The available amounts = The number of tables available for reservation online x The number of available hour options

  • Reservation rules settings:
    • Table Usage Duration: 120 minutes
    • Tables available for reservation online: 2 (A1, A2)
    • Reservation hours:
      • 09:00 ~ 11:30, spaced 30 minutes between each (6 options)
      • 13:00 ~14:30, spaced 30 minutes between each (4 options)
  • Amounts of available table: 2 tables x 10 options of available hours = 20

What do “tables available for reservation online” and “available hour options” refer to?

The amounts of reservation = The number of tables reserved x (Table usage duration/spaced time)

  • Reservation:
    • Group 1: 09:00, 1 table (A1)
    • Group:2 09:00, 1 table (A2)
    • Group:3 13:00, 2 table (A1, A2)
  • The amounts of reservation= 4 (The number of reserved time slots of Group 1) + 4 (The number of reserved time slots of Group 2)+ 8 (The number of reserved time slots of Group 3)= 16

What do “table usage duration” and “spaced time” refer to?

  • Table usage duration: The duration configured in the settings of [Reservation Rules] for the system to reserve a table accordingly.
  • Spaced time: The time interval between each option configured in the settings of [Reservation Hours].

In this case, the reservation rate =The percentage of the reserved amounts of 16 to the available amounts of 20 (¹ ⁶ ⁄ ₂ ₀) is 80%.

❷ Single entry of reservation

  • Reservation List: It displays the key info of the reservation, including the notes, status and reminder tag.
  • Full content: Click the reservation info in the list to check the full content.

2. Manage Reservation Reservation hours

Before the customers show or the end of the reserved date, you can edit or cancel the reservation. Please refer to the instructions below:

❶ Add and edit

Click [New Reservation] or the edit icon of a specific reservation to edit the reservation info.

The reservation status cannot be adjusted from the backend. The system will adjust it based on the status of customers and staff on-site.

❷ Cancel

To cancel a reservation, please click the trash bin icon in the list, or click a specific reservation and then [Cancel] at the upper-right corner of the page.
